What Happens to Enquiries That Arrive After You Shut

Think about when you last looked for a tradesperson, a salon or a garage. Odds are it was in the evening, on your phone, after your own working day had finished. That is when most people do it, because that is when they finally have five minutes.

Which means a large share of the enquiries aimed at your business arrive at a time when nobody is there to take them. This is what happens to those, and what you can realistically do about it.

Where the evening enquiry actually goes

Someone finds you at half past eight. They have two options: ring a number nobody will answer, or fill in a contact form and wait. Most will not ring a business that is shut, so it is the form or nothing.

Filling in a form is a bigger ask than it looks. It means committing to being contacted, in exchange for no answer at all right now. Plenty of people who were ready to buy will not do it, especially for something they are still deciding on.

So the enquiry does not sit in your inbox overnight. It mostly never gets made. That is the part business owners miss: the ones you can see in the morning are the survivors, not the total.

The bit that actually costs you the job

Somebody looking for a plumber is rarely looking for one plumber. They open three or four tabs and message whoever looks most likely.

The business that answers first usually gets the work, not because it is better but because the customer stops looking the moment somebody helpful replies. By the time you see the form submission at eight the next morning, that decision has often already been made.

You are not competing on quality at that point. You are competing on who was awake.

What the questions actually are

Here is the frustrating part. The questions that arrive in the evening are almost never ones that need you personally.

Do you cover my area. Do you do that kind of job at all. Are you open Saturday. Roughly what does it cost. How soon could someone come out. Can I bring the dog.

You have answered every one of those a hundred times. None of them require your expertise, your diary or your judgement. They just require an answer, quickly, from something that knows your business.

What you can do without spending anything

Put your opening hours, your service area and a rough price guide somewhere obvious on the website. A lot of evening enquiries are people trying to work out whether you are even a fit, and half of them will answer their own question if you let them.

Set an autoresponder on your contact form that says when you will actually reply. "We will come back to you before 10am tomorrow" is worth far more than silence, because it gives someone a reason to stop looking.

Then check your form works from a phone. Tonight. A form that fails silently on mobile looks exactly like a business nobody wants to enquire with.

Where a chatbot fits, and where it does not

A chatbot on your website answers those repeat questions the moment they are asked, at eleven at night and on a Sunday, using your information rather than a guess. The visitor gets the same answer at 9pm that they would have got at 9am.

The ones that do need you are handled differently. It takes a name, a number and a short note of what they want, and sends that straight to you, so the conversation ends with a lead rather than someone giving up. You start the morning with people to call instead of a form you are not sure about.

What it is not is a wall between you and your customers. Anyone who wants to speak to you still can. And a decent one will not invent a price or promise a date it cannot keep: ours only work from information you have approved, and say so plainly when a question falls outside that.

The simple version

Your website is open at the times your business is not, and that is when a lot of buying decisions get made. Right now most small business websites handle those hours by asking the customer to wait.

Fixing that does not mean being available at all hours. It means the routine questions getting answered without you, and the real ones reaching you as a name and a number in the morning.
